Rugby registration nights will never be the same again!

As the membership of Old Ruts Rugby goes from strength to strength and the challenges of managing a growing number of players increases, the rugby section have decided to introduce an online payments, email and event management service. We've researched a number of tools that could help and have eventually settled on a service called Webcollect.

Webcollect Logo Webcollect are a 3rd party organisation that specialise in managing subscriptions for about a thousand sports clubs and associations across the country. They are a professional UK based company that comply with all relevant legislation on storing details and making payments securely online. Old Ruts Rugby will not be storing or holding any of your payment information. There is no advertising on the Webcollect site and your information is not passed on to any 3rd parties, unlike many of the social media websites. bacs logo As well as reducing the admin it will also allow us to offer payment via BACS and Direct Debit as well as Cash and Credit Cards. Paying via BACS means that the Club can save on the transaction fees we have to pay to process Credit Cards and will help to offset the overall costs of the service.

Setting up a Webcollect account

We will set up a Webcollect account for you, even if you wish to pay in cash, so that we will have one place from which we can manage membership.

  • Over the coming month you will receive an email from Webcollect providing you your log in details.
    • Not all age groups will receive their login details at the same time so please be patient.
  • Your login details for Webcollect will be separate from your login details for the website if you have registered.
    • Registering on the Old Ruts Rugby website will allow us to approve your Webcollect account more quickly and sign up for Newsletter.
    • In future you'll also be able to view some Member Only information.

Once you receive your login details please login and check your subscriptions and membership details to ensure they are correct. This will make renewal in September a smoother process :-)

Membership Types

When paying for a rugby subscription you also become a member of the Old Ruts Association; this is the same for all sports' sections. Fees and membership of the association and your subscription to Rugby will be shown seperately in your Webcollect account so you can pay via different methods if desired. If you wish to pay for your Old Ruts Association membership by annual Direct Debit and your Rugby subscription via BACS then you will need to complete two seperate purchases as you can only have one payment method per checkout purchase.

Event Management

The website will shortly show a Calendar that you can view to see the events that are happening at the Club. Some events will allow you to indicate you're attending and see who else is coming.

Once more people have been trained they will be able to create events for Rugby Festivals and take payment for those events as well as see who's attending.

Email communication

Getting information to parents and players is not always that easy. Team managers use a variety of methods such as email, WhatsApp, Teamer etc. and they all rely upon people sharing details. This can cause problems for some people if there are a large number of email addresses to send to or if individuals email accounts get hacked!

When we sign you up to Webcollect we will also add you to a private email list for your age group. This will allow Team Managers a safe method of sending email. It also keeps track of all emails that have been sent to each member.

There will also be public lists that you can choose to join to stay informed about events at the Club or for your Rugby section.

If you have any questions about the Webcollect service then you can email me at This email address is being protected from spambots. You need JavaScript enabled to view it.. For questions about your actual membership then please email This email address is being protected from spambots. You need JavaScript enabled to view it. or talk to your Team Manager.

Many thanks,

Jason Besant
